The largest share of our work is with law firms and professional services businesses, so we do not start by having the difference between a case and an instruction explained to us, or why a deadline is not simply a date in a calendar. We know that a second job accumulates around the substantive work: watching deadlines, distributing correspondence, reconstructing what was agreed and answering the question “what is happening with my case”. That is what eats the hours, and that is what can be put in order.
The same experience shapes how we talk about data. In a law firm the question of who sees what is not a setting in an admin panel but a precondition: permissions are split between who can see and who can edit, the data stays on the client’s side, and every solution has to sit comfortably with professional privilege. That is the first criterion when choosing an approach, not the last.
An accountancy practice, an installation company, a wholesaler: a different sector, the same mechanics. What is known about a job lives in parallel across email, spreadsheets and the heads of several people, so answering where things stand means tracking down one particular person. When that person is away, the work stops. A second job accumulates around the real one: retyping the same data, watching deadlines and reconstructing what was agreed a month ago.
We start by counting how many hours that second job costs, and with the one process that costs the most of them. We do not replace tools the team has already learned; we close the gaps between them. Permissions are split between who can see and who can edit exactly as in a law firm, because in a services business the price list, the margin and a counterparty’s details are not for everyone either.
